Street Art Festival – Artist & Event Coordinator

Part Time/Contract/Freelance - 20 hours a month + potential for more

Little Festival is a miniature and small-scale street art festival set to hit the streets of Newcastle’s CBD 1- 2 October 2022. Think miniature installations, ceramics stuck to walls, paste ups, repurposed found objects, art on canvas gifted to street corners, yarn bombing, stencils, impromptu paintings on poles and doorways, dioramas, hanging art and more.

Reporting to the Festival Director, we are looking for an enthusiastic arts event organiser to join our team as Little Festival preparations ramp up. This role is part time, starting 20 hours a month with the potential for more as the event draws closer. This role may be fulfilled remotely, however the successful candidate will be required to undertake a thorough site visit of the Festival area in July, and to work in Newcastle from 29 Sept to 3 October 2022.

This role is administratively heavy and would suit a keyboard / organisational warrior who thinks creatively and is passionate about working in the creative industries. This role is suited to a freelancer or contractor who can work during business hours.


Key responsibilities include:

  • Managing artist contracts, artist liaison, installation logistics

  • Supporting the Festival Director in stakeholder engagement

  • Coordinating landowner contracts, site access, risk assessments and SWMS

  • Collating artist bios and images for the Festival Program and social channels

  • Organising travel and accommodation

  • Assisting with sponsored event activations and artist workshop coordination

  • Assisting with all aspects of event roll out, including distributing portable signage, assisting artists who need logistical support for artwork installation, managing volunteers

  • Management of internal project software to keep it up to date (Monday.com)

  • Assist with servicing sponsors


Essential Requirements

  • 1 year+ as a Coordinator or Administrative Assistant in an arts, events, or festival environment

  • Exceptional administrative and written/grammatical skills

  • Experience in working with contracts and outstanding attention to detail

  • Ability to manage competing priorities and work well under pressure – must be able to juggle work to meet urgent deadlines

  • High level documentation and reporting throughout the event process.

  • Excellent interpersonal skills with the ability to liaise with diverse groups of people

  • Experience in dealing with conflict resolution

  • Basic photoshop experience

  • Ability to organise and manage competing priorities 

  • Work both collaboratively and autonomously

  • Passion for street art, urban art, and sculptural art


Highly Desirable

  • Existing, professional relationships with Australian artists, creatives, or potential sponsors.

  • Proven knowledge and understanding of risk and safety issues for outdoor arts events including art installations

  • Familiarity with Squarespace and EDMs

  • Confident with photography and basic videography (e.g. time-lapse)

  • Driver’s licence and own car (during the Festival period)
